What is the BAS tool by Dashboard Insights?

  • BAS Pro is an AI-powered assistant that automates and simplifies Business Activity Statement (BAS) preparation. It helps accountants and bookkeepers complete BAS faster, more accurately, and with less manual effort.

Who is this tool designed for?

  • It’s built for accounting firms, bookkeepers, and finance teams who manage BAS for clients — whether you’re working solo or in a larger firm.

How is it different from other BAS preparation tools?

  • What sets it apart from other AI tools is its support for the end-to-end accountant and bookkeeping workflow, starting from client communication before you kickstart BAS review, to remind clients to ensure books are reconciled and settled.

  • We will then facilitate efficient and accurate review of transactional data for the period, seamlessly integrating with Xero to make relevant adjustments.

  • BAS Pro also allows you to communicate and send email notifications to your clients when lodgement is done by using the provided email template and filling out the necessary details.

Onboarding & Implementation

How do I get started?

  • Sign up, connect Xero, and the tool will automatically start analysing your BAS data.

What if I want to use BAS Pro and I’m already a Dashboard Insights user?

  • If you are a current Dashboard Insight user, simply follow the steps below.

    1. Log in to your Dashboard Insights account.

    2. Click to Administration, then click Billing.

    3. Select Subscribe to BAS Button.

    4. Proceed to Integrations Tab and select accounts you’d like to connect to BAS Pro.

    5. Disconnect your existing Dashboard Insights–Xero connection.

    6. Reconnect and authenticate your Xero account.

Once reconnected, you’re all set. Your BAS Pro setup will be ready to use under Compliance tab.

Do I need technical skills?

  • No, it’s designed to be intuitive. If you can complete a BAS manually, you’ll find this much simpler.

Is training provided?

  • Yes. We offer quick-start guides, live demos, and online training sessions.

Can you import my old BAS data?

  • Yes. You can import prior period transactional data for review by connecting your accounting platform for automatic syncing. No manual import.


How BAS Pro Works

How does the AI-powered BAS tool work?

  • BAS Pro simplifies and automates the BAS review process from start to finish.

    1. Select Clients and Prepare Communication

      • Users begin by selecting which clients to review and preparing their communication through the platform. Once sent, clients receive a prompt to approve the “Start BAS Review” request and can add comments or additional instructions.

    2. Initiate AI Review

      • After client approval, users initiate the BAS review and define the custom date range for analysis. The AI then reviews all relevant transactions, using historical patterns and data to identify potential issues (misclassifications, incorrect GST treatment, outlier amounts, missing or incomplete data, and other anomalies).

      • The AI flags these items and suggests appropriate corrections.

    3. Review and Apply Corrections

      • Users can review the flagged items and choose to accept or reject suggested corrections. Accepted changes are applied directly to Xero with one click. The system automatically creates a manual journal entry in the client’s Xero account to reflect the adjustment.

    4. Transparency and Status Tracking

      • Each affected transaction in Xero will include a note in its history stating that it has been adjusted via BAS Pro. Users can also view whether journal entries are in Draft or Posted status within the platform.

    5. Post-Lodgement Workflow

      • Once the review is complete, accountants can proceed with lodging the BAS in Xero. BAS Pro also provides a ready-to-use post-lodgement email template, allowing firms to quickly notify clients that their BAS has been successfully lodged.

Do I still need to manually review the BAS?

  • Yes. You remain in control of all lodgments. The AI automates the heavy lifting, but final review and approval stay with you.

Is it suitable for both small and large firms?

  • Absolutely. It scales easily - small or large, BAS Pro adapts to your firm’s workflow. Our tool can process as many transactions and line items as you have.

Can I use it for multiple clients?

  • Yes. You can manage multiple client profiles, each with separate BAS data and history. The tool also has the capability to send client notifications, emails, and communication requesting supporting data and documents.

How much time can I expect to save?

  • On average, firms report cutting BAS prep time by 80%, especially for repeat clients and routine lodgements. If 1000 transactions take one user 1.5 hours to review, with BAS Pro, you can get it done within 15 minutes, giving you more time to focus on client communication and advisory work.

Features & Functionality

What tasks does the tool automate?

  • It automates Pre-BAS client communication, including sending email reminders to complete, close, and reconcile Xero transactions. BAS Pro also automates error detection such as entry misclassification, GST miscalculations, outlier amounts, and missing information.

Can it handle both quarterly and monthly BAS filings?

  • Yes, the tool supports both frequencies.

Can it reconcile GST, PAYG, and other components?

  • At present, the tool automatically calculates and reconciles GST. We’re actively developing additional capabilities to support the reconciliation of PAYG and other BAS components.

Does it integrate with accounting software?

  • Yes. It connects seamlessly with Xero. In the future, we are going to integrate with Quickbooks and MYOB.

Can it manage multiple entities?

  • Yes. You can switch between clients or entities easily from the same dashboard.

Does it handle multiple Xero organisations concurrently?

  • Yes. BAS Pro supports multiple Xero organisations simultaneously. You can switch between client profiles within the same dashboard and manage reviews, communications, and lodgement statuses independently for each entity.

Will it post one bulk journal or multiple journals for each change?

  • BAS Pro generates one consolidated journal entry that summarises all accepted changes for the selected review period. This ensures cleaner records in Xero, easier reconciliation, and a clear audit trail — without cluttering your ledger with multiple journal entries.

Can the system review bank reconciliations and detect duplicate payments or misallocated transfers?

  • BAS Pro does not perform full bank reconciliation checks. It reviews reconciled transaction-level data in Xero to identify GST misclassifications, outlier amounts, missing or incomplete entries, and other coding inconsistencies.

  • Duplicate payments or misallocated transfers may be flagged if they result in unusual or inconsistent transaction patterns, rather than through direct reconciliation logic.

Does it reconcile balances for HP loans, ATO ICA, and other balance sheet accounts with supporting schedules?

  • The current BAS Pro release checks these accounts if GST has been tagged.

Does the AI check GST codes against attached source documents (invoices/receipts), or only historical coding patterns?

  • BAS Pro’s AI analyses transactions based on historical coding patterns and data consistency within Xero. It does not yet read or verify attached source documents (such as invoices or receipts).

Can the system recode transactions at the line level in Xero rather than posting summary journals?

  • When a suggested correction is accepted, BAS Pro creates a manual journal entry in Xero to reflect the adjustment. It does not recode transactions at the individual line level, as this is not supported through Xero’s API.

Can I customise reports?

  • At the moment, reports aren’t customisable. However, you can easily export the report for further formatting or presentation outside the platform.


Data Security & Privacy

Is client data safe?

  • Yes. Data security is a top priority — all information is encrypted in transit and at rest.

Where is the data stored?

  • Data is securely hosted on Australian servers that comply with local data protection regulations.

Is it cloud-based or installed?

  • It’s fully cloud-based — no downloads or installations required.

Does it comply with privacy laws?

  • Yes. We comply with the Australian Privacy Principles (APP) and the Privacy Act 1988.

Is client data used to train AI models?

  • No. Your data is never shared or used for model training. The AI only works with your data within your secure environment.

What are the hosting regions, encryption standards, authentication options (SAML/SSO), and audit trail capabilities?

  • All data is securely hosted on Australian servers in compliance with local data protection regulations. Information is encrypted both in transit and at rest, and users access the platform through standard secure login.
    BAS Pro automatically adds a note to any adjusted Xero transaction, maintaining a transparent audit trail for all changes.

What is your data retention and deletion policy for Australian client data?

  • Users have full control over their firm and client data, including the ability to permanently delete records. When an account or connection is disconnected, all associated data is automatically deleted within 30 days.


AI & Accuracy

How does the AI identify errors?

  • It compares transaction patterns, checks for account allocation and GST code mismatches, and reviews data consistency and prior data in their own accounts.

How accurate is it?

  • The tool achieves high accuracy through continuous learning and updates. You’ll always have the final review and sign-off.

Can I reject AI suggestions?

  • Yes. You’re in full control — the AI suggests, you decide.

Does it handle complex BAS cases?

  • Yes. It supports a wide range of scenarios and flags anything outside typical patterns for manual review.

How often is the AI updated?

  • Our AI capabilities are continuously improving as part of our regular development cycle. However, we also release incremental updates based on client feedback and evolving needs, so new features and improvements may be introduced more frequently throughout the year.


Technical Requirements

Do I need to install anything?

  • No installation needed — just log in via your browser.

What devices are supported?

  • The tool works on desktop, laptop, tablet, and mobile browsers.

What are the system requirements?

  • A stable internet connection and a modern browser (Chrome, Edge, or Safari).

What happens if my connection drops?

  • You can simply reconnect, and no data will be lost. The system automatically saves your progress, allowing you to pick up exactly where you left off once the connection is restored.

Does the emailing feature integrate with FuseDocs?

  • There is currently no integration with FuseDocs or other document management platforms. Additional integrations are planned in future updates as outlined in the published roadmap.


Pricing & Access

How much does it cost?

  • Free trial until end of year! Access will be available starting Oct 24, 2025 to all waitlisters. Keep an eye out for your welcome email!

Are there long-term contracts?

  • No. You can cancel anytime — no lock-ins.

Are updates included?

  • Yes. All updates and feature releases are included in your subscription.

What happens after the free period ends?

  • You’ll have the option to continue with a paid plan or export your data before ending your trial.

What do I do if I want to continue free trial to a paid account?

  • Before your free trial ends, you’ll receive an email with simple instructions to upgrade. You can easily convert your trial into a paid account within the platform. Your data, settings, and client connections will remain intact.

What licensing options are available for multi-entity and multi-user setups?

  • BAS Pro is currently offered under a free trial until the end of the year.
    Details on subscription plans, pricing tiers, and licensing options for multi-entity and multi-user environments will be announced closer to the end of the trial period.

In the meantime, all users have full access to BAS Pro’s core features and can manage multiple client entities within a single dashboard throughout the trial.
