Everything you need to know to get started with Dashboard Insights' XPM Dashboards

Managing and interpreting data can be overwhelming and time consuming, especially in the fast-paced world of accounting. That’s where Dashboard Insights come in. We offer XPM Dashboards designed to seamlessly integrate with Xero Practice Management, providing valuable insights that drive your firm’s success and growth.


Let’s Get Started!

After the delivery, you can start exploring your dashboards by following these steps:

Register with Dashboard Insights App

You will receive an invitation to create an account in the DI app. Register by following the instructions provided in the demo below.


View and Access the Dashboard via DI App

Once the dashboards are completed and published, you can access them through the DI App. You can establish dashboard security and user groups to manage security levels. Users will only see dashboards assigned to them, ensuring data confidentiality and relevance.

Usage Tips

These are opportunities for review and improvement of your business and operational processes through your XPM practice and your use of the dashboards.

Note: These are only ideas that we'd like to share as best practices for accounting firms like yours. It's 100% your call to decide whether to consider these below!

XPM Usage Tips

Client

  • Allocate all Client Records to a Client Group.

💡 Practical Tip: Individuals can all be grouped into 1 Client Group called "Individual Tax Returns

  • All client records can also be assigned to a Client Partner and Client Manager.

💡 Practical Tip: Within XPM, our recommended roles for individuals are as follows:

  • Client Partner: Focused on cultivating relationships

  • Client Manager: Specialised in managing client relationships

  • For duplicate clients, add an identifier (e.g., middle initial) to one name or archive unused duplicate record.

Jobs

  • You can put a prefix on the Job Numbers as the Financial Year. i.e J24-0001.

  • You can assign numerical labels to the Job State Names based on your specific process steps.

  • The Job Categories should identify the services that you provide: Compliance, Consulting, SMSF, etc.

  • It's advisable to allocate every Job to a Job Partner, Job Manager and Job Category.

💡Practical Tip: Within XPM, our recommended roles for individuals are as follows:

  • Job Partner: Primarily responsible for reviewing tasks and projects

  • Job Manager: Mainly involved in executing tasks and projects

Timesheets

  • In XPM there is a single capacity reducing Job to identify and track leave hours and other capacity reducing time.

Fixed Fees

  • It is advisable to conduct a WIP Wash up at least on the completion of an engagement.

Dashboard Insights Usage Tips

WIP

  • WIP on Archived Clients and Completed Jobs can be investigated to recover it or to Write it Off.

💡Practical Tip: In the WIP Management Dashboard, it is advisable to conduct this review as a monthly-end procedure.

Client Partner: the primary individual responsible for managing and maintaining their client's WIP Balance.

  • The Aged WIP must be investigated to identify billing opportunities.

Jobs

  • There are Jobs with Due dates of 30/6/2040 that can be cleared or removed.

  • Several Jobs that have not been attended in the past 100 days require investigation.

💡Practical Tip: Regular checking can be accompanied by utilising the "Days Since Last Timesheet" filter in the Job Management Dashboard.

  • When invoicing a Job, allocate the appropriate value to each task within the Job.
